Maintenance work orders: from service request to completed repair

How to run maintenance work orders: requests, triage, priorities, assignment, parts, completion records and the reports that improve maintenance.

A maintenance work order is the record of a maintenance job: what needs to be done, on which asset, by whom, by when, with what parts, and what was actually done. Work orders turn a stream of chat messages and phone calls ("the aircon in branch 12 is leaking again") into a managed queue with priorities, accountability and history. They are the foundation of any maintenance program, preventive or reactive.

Where work orders come from

SourceExample
Service request from a userStore reports a broken freezer
Preventive maintenance scheduleQuarterly generator service is due (preventive maintenance)
Inspection findingForklift pre-use inspection finds worn tires
Audit or safety findingFire extinguisher overdue for servicing
Improvement projectModify a machine guard after a near miss

The work order lifecycle

  1. Request: user submits a service request linked to the asset, with description and photos.
  2. Triage: maintenance reviews, sets priority and decides whether in-house engineering or a vendor will handle it.
  3. Planning: tasks, skills, parts and estimated time defined; parts reserved.
  4. Assignment: technician or vendor assigned with a target date.
  5. Execution: work done; time, parts used and findings recorded.
  6. Completion: requester confirms the fix; the work order is closed.
  7. Review: history analyzed for recurring failures and costs.

Priority levels

PriorityDefinitionExampleTarget response
EmergencySafety risk or operations stoppedProduction line down, gas leakImmediate
HighSignificant impact on operations or customersStore freezer failingSame day
MediumDegraded but workableOne of three aircon units weakWithin days
LowMinor or cosmeticLoose cabinet hingeScheduled

Targets are examples; set your own based on your operations.

What to record on every work order

  • Asset, location and requester
  • Problem description and photos
  • Priority and category
  • Assigned technician or vendor
  • Parts and consumables used (spare parts management)
  • Labor time and vendor charges
  • Root cause or failure code
  • Completion date and confirmation

Failure codes and costs per asset turn work orders into data for repair-or-replace decisions.

Vendor work orders

Many repairs are done by vendors: aircon, elevators, generators, specialized equipment. Track vendor work orders the same way: request, quotation and approval, scheduled date, service report and cost. Compare vendor response times and repeat failures. See vendor-maintained assets in our preventive maintenance guide.

Maintenance KPIs from work orders

  • Response time and completion time by priority
  • Backlog (open work orders) and its age
  • Percentage of planned vs. reactive work
  • Repeat failures on the same asset
  • Maintenance cost per asset
  • MTBF and MTTR

Common problems

  • Requests by chat, so nothing is tracked
  • Work orders closed without recording what was done
  • Parts used but not recorded, so spare parts stock is wrong
  • No priorities, so the loudest requester gets served first

Where Cirquolus fits

The Cirquolus asset management system handles service requests, engineering work and vendor service linked to asset records, with consumables and depot stock for parts. Employees can raise requests through helpdesk and the employee portal.

Frequently asked questions

What is a maintenance work order?

A record of a maintenance job: the asset, problem, priority, assigned person, parts, time, work done and completion.

What is the difference between a service request and a work order?

A service request is the user's report of a problem. A work order is the planned and assigned job to fix it.

How should maintenance work be prioritized?

By impact on safety, operations and customers, with defined response targets for each priority level.

Why record parts and time on work orders?

To know the true maintenance cost per asset and keep spare parts stock accurate.
