Asset booking systems for vehicles, rooms and shared equipment

How to set up booking for company vehicles, meeting rooms and shared equipment: booking rules, approvals, pickup and return, no-shows and utilization.

Shared assets such as pool vehicles, projectors, testing equipment, tools and meeting rooms create daily friction when they are managed by chat messages: double bookings, vehicles taken without notice, equipment that never comes back. An asset booking system gives everyone one calendar, clear rules and a record of who used what, when and for what purpose.

What can be booked

Booking rules worth defining

  • Who can book each asset type and who must approve
  • Lead time: how far ahead bookings can be made, and minimum notice
  • Maximum duration per booking
  • Priority rules when two departments need the same asset
  • Pickup and return times, with grace periods
  • No-show and late return handling
  • Condition checks and what to do if something is damaged

The booking flow

  1. Request: user selects the asset, date, time and purpose.
  2. Approval: automatic for routine bookings, manual for high-value or long bookings.
  3. Pickup: check-out records time, condition and, for vehicles, odometer and fuel level (asset check-in and check-out).
  4. Use: for vehicles, trip details are recorded (fleet management).
  5. Return: check-in records time, condition and readings; issues become service requests (maintenance work orders).

Vehicles: bookings plus trip records

For pool vehicles, combine booking with trip records: driver, destination, purpose, departure and return times, odometer readings and fuel. This makes it easy to match vehicle use to business needs, compute cost per kilometer and spot misuse. Vehicles leaving company premises should pass gate checks (gate pass and property control).

Measuring utilization

Utilization = hours or days booked and used ÷ hours or days available

Low utilization suggests too many assets (some could be sold or redeployed). Very high utilization with frequent conflicts suggests a need for more assets or better scheduling. Review utilization quarterly by asset type and location.

Common problems a booking system solves

  • Double bookings and last-minute conflicts
  • Assets used without anyone knowing who has them
  • Disputes about damage or late returns
  • No data to justify buying or disposing of shared assets

Rollout tips

  1. Start with the most contested assets, often pool vehicles.
  2. Publish the rules before go-live.
  3. Make booking easy on mobile.
  4. Require check-out and check-in from day one.
  5. Review no-shows and late returns monthly.
