Asset management & maintenance
Asset check-in and check-out: a process that keeps equipment accounted for
Design a check-in and check-out process for tools, devices, vehicles and equipment: assignment, acknowledgments, condition checks, due dates and overdue follow-up.
Assets go missing in the gaps between people. A drill borrowed by one technician, passed to another, then left at a site. A laptop handed to a new hire without a record. Check-in and check-out closes those gaps by recording every handover: who took the asset, when, in what condition and when it is due back.
Two kinds of assignment
| Type | Example | Return expectation |
|---|---|---|
| Long-term assignment | Laptop, phone, company car assigned to an employee | Returned at role change or separation |
| Short-term checkout | Tools, projectors, test equipment, pool vehicles | Returned by a due date or end of shift |
Both need records. Short-term checkouts also need due dates and overdue follow-up.
The check-out process
- Request: employee requests the asset, or the custodian assigns it.
- Verify: custodian scans the asset tag and confirms availability (asset tagging).
- Record condition: notes and photos for valuable or fragile items.
- Assign: to the employee, with location or project and due date if applicable.
- Acknowledge: employee signs or confirms digitally, accepting responsibility under policy.
The check-in process
- Return: employee brings the asset back.
- Inspect: custodian checks condition against the check-out record.
- Record: check-in date, condition, and any damage or missing accessories.
- Route: to available stock, repair or disposal (preventive maintenance).
Handling overdue and missing assets
- Automatic reminders before and after due dates
- Escalation to the employee's supervisor after a set period
- Missing items reported with an incident record
- Policy on accountability for lost or damaged assets, applied consistently and in line with labor rules on deductions
Linking to HR events
Check-in and check-out should connect to the employee lifecycle:
- Onboarding: assigned assets recorded before day one (onboarding checklist)
- Transfers: assets returned or reassigned when employees move branches
- Separation: clearance lists all assets currently assigned (offboarding and clearance)
This single link is one of the fastest ways to speed up clearance and final pay.
Shared equipment and bookings
For pool vehicles, meeting room equipment and specialized tools, a booking calendar prevents conflicts and shows utilization. Combine bookings with check-out at pickup and check-in at return.
Reports that help
- Assets currently checked out, by employee and location
- Overdue checkouts
- Asset utilization (time checked out ÷ time available)
- Damage and loss incidents by asset type and department
- Assets per employee for clearance
Check-out policy essentials
Write down the rules so every branch applies them the same way:
- Which asset types require check-out, and which are freely shared
- Maximum check-out periods for short-term items
- Who may approve check-outs of high-value equipment
- Condition checks and photos required at handover and return
- What happens when an item is lost or damaged, applied consistently and in line with labor rules on deductions

Frequently asked questions
What is asset check-in and check-out?
Recording when an asset is issued to and returned by an employee, including condition and due dates.
Why should employees acknowledge asset assignments?
Acknowledgment confirms receipt and condition and supports accountability under company policy.
How do you track tools on project sites?
Tag tools, check them out to employees or sites with due dates, and check them in at return with condition notes.
Can asset records speed up employee clearance?
Yes. When assignments are recorded, clearance immediately shows which assets an employee must return.
