Asset management & maintenance

CMMS vs. EAM: which maintenance and asset system do you need?

The difference between a CMMS and an EAM system, what each covers, when a Philippine company needs one or the other, and where ERP-based asset management fits.

When companies look for software to manage equipment, they meet two acronyms: CMMS (computerized maintenance management system) and EAM (enterprise asset management). A CMMS focuses on maintenance work: work orders, preventive schedules and spare parts. An EAM covers the whole asset lifecycle across sites: acquisition, assignment, maintenance, cost, depreciation and disposal, usually connected to finance and purchasing. Which you need depends on what problem you are solving.

When a CMMS is enough

  • One plant or facility with a dedicated maintenance team
  • The main pain is breakdowns and unplanned work
  • Finance manages the fixed asset register separately and that works well
  • Few portable assets to track

When you need EAM or ERP-based asset management

  • Assets spread across many branches, sites and companies
  • You need to know who has what and where, not only what needs repair (asset tagging)
  • Finance and operations keep conflicting asset lists (asset register)
  • You want lifecycle cost to drive repair-or-replace and purchasing decisions (asset lifecycle)
  • Assets need to connect with HR events, such as clearance, and with purchasing and accounting

Where ERP-based asset management fits

Many mid-sized and large Philippine companies get EAM-style capabilities inside their ERP: the asset register, assignments, maintenance requests, vendor service, consumables and valuation live in the same system as purchasing, HR and finance. That avoids re-encoding between a standalone CMMS and accounting. Very specialized maintenance operations (for example, power plants or heavy industry) may still use dedicated EAM products.

Questions to decide

  1. Is the main problem maintenance execution, asset visibility, or both?
  2. How many sites, companies and asset types are involved?
  3. Who needs to use the system: maintenance only, or also admin, IT, finance and employees?
  4. Does the asset data need to flow into accounting and HR clearance?
  5. What do you already use for purchasing and finance?

Evaluation scenarios

  • A store reports a broken freezer; it becomes a work order with a vendor and parts
  • A laptop is assigned to a new hire and returned at clearance
  • A generator transfers to another branch (asset transfers)
  • Quarterly preventive maintenance is scheduled and completed
  • Finance runs depreciation and disposes of a scrapped vehicle (asset disposal)

Where Cirquolus fits

The Cirquolus asset management system combines asset records and operations: fixed asset records with check-in and check-out, service requests, engineering work and vendor service, consumables, depot and asset valuation, and trip management and booking, across companies and branches. It connects with purchasing, HRIS and financial management.

Frequently asked questions

What is the difference between CMMS and EAM?

A CMMS focuses on maintenance work orders, schedules and parts. An EAM manages the full asset lifecycle across sites, including acquisition, cost, depreciation and disposal.

Do small companies need EAM?

Often not. A CMMS or simple asset system may be enough for one site. EAM capabilities matter more with many sites, companies and asset types.

Can an ERP replace a CMMS?

ERP-based asset management can cover registers and maintenance workflows for many companies; highly specialized maintenance operations may still use dedicated tools.

What is enterprise asset management?

A system and practice for managing physical assets throughout their lifecycle, from acquisition to disposal, across an organization.
