Asset transfers between branches and companies: keeping records right

How to transfer equipment, vehicles and IT assets between branches and group companies without losing track: requests, approvals, dispatch, receipt and records.

Assets move constantly in multi-branch companies: a generator goes to a new store, laptops follow employees who transfer, equipment is shared between plants, a vehicle is reassigned to another region. Each move is a chance for the register to fall out of date. An asset transfer process makes sure every move is approved, recorded on both ends and reflected in the books.

Why transfers go wrong

  • Assets are moved informally ("just borrow it for a week") and never recorded
  • The sending branch removes the asset, but the receiving branch never confirms
  • Custodians change without handover, so nobody is accountable
  • Transfers between group companies are treated as internal moves, ignoring legal ownership

The transfer process

StepWhat happens
1. RequestReceiving or sending branch requests the transfer with reason and expected date
2. ApprovalApproved by both branch heads, or by head office for high-value assets
3. DispatchSending custodian checks condition, records the dispatch and issues a gate pass
4. In transitAsset shows as in transit until received
5. ReceiptReceiving custodian checks condition and confirms receipt
6. Record updateLocation, custodian and cost center updated; history kept

Condition and documentation

Record the asset's condition at dispatch and at receipt, with photos for valuable items. If an asset arrives damaged or incomplete (missing accessories, cables, keys), record it immediately and investigate, as you would a stock transfer (stock transfer process).

Transfers with employees

When employees move branches, their assigned assets often move with them. Handle the transfer of custody and location together, and confirm on the receiving end. When an employee leaves, assets return through clearance (asset check-in and check-out).

Transfers between companies in a group

Moving an asset from one legal entity to another is not just a location change. It may be a sale, lease or loan between companies, with accounting and tax implications. Agree the treatment with finance and your tax adviser, document it, and update both companies' registers. See multi-company ERP.

Temporary transfers and loans

For short-term loans between branches, use check-out with a due date rather than a permanent transfer. Overdue items are followed up automatically, and the home branch remains the owner of record.

Accounting impact

Transfer typeAccounting
Between branches of the same companyUsually a cost center and location change; no gain or loss
Between companies in a groupIntercompany transaction; recorded in both companies' books
Temporary loanNo ownership change; custody and location tracked

Controls

  • No asset leaves a site without a gate pass linked to an approved transfer (gate pass)
  • Receiving confirmation required to complete the transfer
  • In-transit assets reviewed weekly
  • Periodic verification confirms assets are where the register says (fixed asset audit)

Transfer checklist

  • Request with reason and asset details
  • Approvals per policy
  • Condition recorded at dispatch, with photos if valuable
  • Gate pass issued
  • Receipt confirmed with condition
  • Location, custodian and cost center updated
  • Intercompany documentation if applicable

Where Cirquolus fits

The Cirquolus asset management system keeps fixed asset records with assignments, check-in and check-out across companies and branches, and gatekeeping controls property leaving each site. Multi-company setup keeps each entity's records separate.
