Asset management & maintenance
Fleet management for Philippine companies: vehicles, trips and costs
Manage company vehicles in the Philippines: vehicle records, registration and insurance renewals, trip tickets, fuel, maintenance, drivers and cost per kilometer.
Company vehicles (delivery trucks, service vans, motorcycles for field staff and executive cars) are expensive assets that move every day, away from supervision. Fleet management keeps them legal, safe, maintained and used for business, at a cost the company understands. For distributors, construction firms, logistics providers and field service companies, it is a significant cost center that is often managed through paper trip tickets and fuel receipts.
What to track for each vehicle
| Category | Details |
|---|---|
| Identity | Plate number, make, model, year, engine and chassis numbers |
| Ownership and custody | Company, branch, assigned driver or pool |
| Compliance | Registration expiry, insurance (including compulsory third party liability), permits for specific uses |
| Maintenance | Service schedule by kilometers or months, history, warranty |
| Usage | Trips, odometer readings, purpose |
| Costs | Fuel, maintenance, tires, tolls, parking, insurance, registration |
Set renewal reminders well ahead of expiry dates. An unregistered or uninsured vehicle on the road is a legal and financial risk.
Trip tickets and bookings
A trip ticket documents each use of a vehicle: driver, purpose, destination, departure and return times, and odometer readings. For pooled vehicles, a booking process prevents conflicts and shows utilization.
Digital trip records make it easier to:
- Match trips to deliveries or service calls
- Spot personal use and unusual mileage
- Compute utilization by vehicle
Fuel management
Fuel is usually the largest operating cost. Controls:
- Fuel cards or authorized stations instead of cash reimbursements where possible
- Fuel recorded with odometer readings at each fill-up
- Fuel efficiency (km per liter) tracked per vehicle and driver
- Investigation when efficiency drops suddenly, which can indicate mechanical issues or fuel misuse
Example: a delivery truck normally averages 6 km per liter. This month it recorded 3,000 km and 650 liters, or 4.6 km per liter. That is about 150 liters more than expected, worth checking.
Maintenance
Follow manufacturer service intervals by kilometers or months, and record every repair. Track tires and batteries as components with their own lifespans. Use preventive maintenance principles: planned service is cheaper than roadside breakdowns and lost deliveries.
Drivers
- License validity and restriction codes checked and recorded
- Assigned vehicles and trip history
- Incident and violation records
- Training on safe driving and vehicle checks
Fleet KPIs
| KPI | Formula |
|---|---|
| Cost per kilometer | Total vehicle costs ÷ kilometers traveled |
| Fuel efficiency | Kilometers ÷ liters |
| Utilization | Days or hours in use ÷ days or hours available |
| Downtime | Days out of service for repairs |
| Compliance | Vehicles with current registration and insurance ÷ total vehicles |
Gate and property control
Vehicles leaving company premises should pass through gate checks with trip tickets and gate passes for any cargo. See gate pass and property control.

What is a trip ticket?
A record of each vehicle trip, including driver, purpose, destination, times and odometer readings.
How do you monitor fuel use?
Record fuel with odometer readings at each fill-up, compute km per liter per vehicle and investigate unusual drops.
How do you calculate cost per kilometer?
Divide total vehicle costs for a period (fuel, maintenance, insurance, registration and others) by kilometers traveled.
