Security patrol management: checkpoints, incident reports and oversight

Manage security operations across sites: patrol routes, checkpoints, guard tours, incident reports, visitor registration and the reports management needs.

Security teams in plants, warehouses, malls, hospitals, campuses and offices do more than watch gates. They patrol, register visitors, control property movement, respond to incidents and report what they see. When these activities are recorded on paper logbooks, management cannot easily confirm that patrols happened or that incidents were followed up. A structured security workflow gives both guards and management a clear record.

Core security activities

ActivityWhat to record
Visitor and contractor registrationName, company, purpose, host, entry and exit times, items declared
Gate and property controlGate passes verified, vehicles, cargo (gate pass guide)
PatrolsRoute, checkpoints visited, times, observations
IncidentsWhat happened, where, when, who was involved, actions taken
Shift turnoverOpen issues, keys, equipment, instructions

Designing patrol routes

  1. Map risk areas: perimeters, warehouses, cash areas, server rooms, parking, fire exits.
  2. Define checkpoints at those areas, each with an identifier (a tag or code).
  3. Set frequency by risk and time (for example, hourly at night for warehouses).
  4. Vary timing so patrols are not predictable.
  5. Define what to check at each point: locks, lights, fire equipment, unusual activity.

Proving patrols happened

Guard tour methods include checkpoint tags scanned with a device or phone, or codes recorded at each point. The record shows which checkpoints were visited and when. Missed checkpoints should be visible to the security supervisor the same day.

Incident reporting

A good incident report is timely and specific:

  • Date, time and exact location
  • Type (theft, trespass, safety hazard, property damage, medical, fire alarm)
  • People involved and witnesses
  • Description of what happened
  • Immediate actions taken
  • Photos or evidence
  • Follow-up owner and status

Incidents should be routed to the right department, such as facilities, HR, operations or management, and tracked to closure. Repeated incidents in one area deserve root cause analysis (CAPA).

Working with security agencies

Many Philippine companies contract security agencies. Define in the contract and in daily practice:

  • Required posts, patrol frequencies and reporting
  • Access to the company's system for logging
  • Monthly performance review using patrol completion, incident response and audit results

For agencies themselves, see ERP for security agencies.

Management reports

  • Patrol completion rate by site and shift
  • Incidents by type, location and trend
  • Visitor volume and overstays
  • Gate pass exceptions and returnables overdue
  • Open incident follow-ups

Data privacy

Visitor logs, CCTV and incident reports contain personal information. Post privacy notices at entrances, limit access to records, and set retention periods. See the Data Privacy Act and business systems.

Frequently asked questions

What is a guard tour system?

A method of recording that guards visited designated checkpoints during patrols, with times, so completion can be verified.

What should a security incident report include?

Date, time, location, type, people involved, description, actions taken, evidence and follow-up owner.

How often should patrols be done?

It depends on the risk of each area and time of day. High-risk areas at night often need more frequent, unpredictable patrols.

How can companies monitor contracted security guards?

Use recorded patrols and incident reports in the company's system and review performance against contract requirements monthly.
