Restaurant POS in the Philippines: what multi-outlet food businesses need

Restaurant POS needs for Philippine food chains: table and queue ordering, kitchen orders, senior and PWD discounts, service charge and outlet reports.

A restaurant POS has to handle a faster, messier flow than retail: orders change, tables split bills, the kitchen needs tickets, senior citizens and PWDs get statutory discounts, service charges must be distributed to staff, and ingredients disappear in ways a retail barcode never shows. For Philippine restaurant groups with several outlets, the POS also feeds central purchasing, commissary deliveries and branch reports.

Core restaurant workflows

WorkflowWhat the POS should do
Dine-inTable management, order by seat or table, add items, split and merge bills
Quick serviceQueue ordering and cashiering, order numbers, pickup display
Takeout and deliveryOrder types, packaging charges, delivery platform orders where integrated
KitchenOrders routed to kitchen or bar stations, with modifications noted
PaymentsCash, cards, e-wallets, split payments
End of dayX and Z readings, cash count, sales summary (readings guide)

Senior citizen and PWD discounts

Restaurants serve many senior citizens and PWDs, and discounts are a frequent audit point. Under RA 9994 and RA 10754, qualified customers receive a 20% discount and VAT exemption on their own consumption. The POS should compute VAT exemption first, apply the 20% on the VAT-exclusive amount, handle group bills where only part of the order belongs to the senior or PWD, and record ID details.

Example: a group bill of ₱4,480 for four diners, one of them a senior citizen. The senior's share is ₱1,120 (VAT-inclusive). VAT-exclusive share = ₱1,000; discount = ₱200; senior pays ₱800. The other three pay their shares of ₱3,360. Total bill = ₱4,160.

Service charge

Under RA 11360, service charges collected by covered establishments must be distributed in full and equally to covered employees, at least twice a month. The POS should record service charges separately so payroll can distribute them correctly. See service charge distribution.

Inventory and food cost

Restaurants lose margin through waste, over-portioning and theft. Connecting the POS to inventory helps:

  • Recipes or bills of materials for menu items so sales deduct ingredients
  • Daily or weekly counts of high-value ingredients
  • Variance reports: theoretical usage from sales vs. actual usage from counts
  • Commissary or central kitchen transfers recorded like warehouse transfers (stock transfers)

Track food cost percentage by outlet and menu item.

Multi-outlet reporting

Head office needs sales by outlet, hour and menu item; average check; covers; discounts by type; voids and refunds by cashier; and food cost. Compare outlets weekly to spot problems early.

Controls specific to restaurants

  • Voids after an order is sent to the kitchen require a manager's approval
  • Complimentary items recorded with reason and approver
  • Discounts other than statutory ones need approval
  • Cash counts at each shift change
  • Kitchen tickets matched to sales

Evaluation checklist

  • Table and queue ordering that matches your service style
  • Kitchen order routing
  • Correct senior citizen and PWD computation, including group bills
  • Separate service charge recording
  • Offline selling (offline POS)
  • Ingredient deduction and variance reports
  • BIR requirements for your setup (BIR POS requirements)
  • Central menu and price management across outlets

Apply the VAT exemption and 20% discount only to the senior citizen's own share of the bill, and charge the rest normally.

Must service charges go to employees?

Under RA 11360, service charges collected by covered establishments must be distributed in full and equally to covered employees.

Can a restaurant POS track ingredients?

Yes, if menu items have recipes linked to inventory, so each sale deducts ingredients for variance analysis.
