Multi-branch POS: running many stores from one system

How retail chains and restaurant groups manage products, prices, promotions, users, terminals, stock and reports across many branches with one POS platform.

A multi-branch POS lets a retail chain, restaurant group or franchise network run every store from one platform: products and prices managed centrally, each branch selling and tracking its own stock, and head office seeing all sales in real time. Without it, each branch becomes its own island with its own price list, its own spreadsheets and its own version of the truth.

Price and promotion control

Price errors cost money and customer trust. With a multi-branch POS:

  • Prices are set once with effective dates and pushed to branches
  • Regional or branch price lists handle legitimate differences
  • Promotions are configured with eligible branches, items and dates, and stop automatically
  • Price overrides at the counter require supervisor approval and appear in exception reports

Branch inventory connected to sales

Every sale deducts stock from the branch where it happened. Returns add it back. Combined with transfers and receiving, head office sees stock by branch and can replenish or rebalance. See multi-branch inventory management and POS and inventory integration.

Cash and cashier control across branches

Each branch should follow the same opening, closing and reconciliation routine, with results visible to head office:

  • Cash count vs. system per cashier and shift
  • Voids, refunds and overrides by cashier
  • X and Z readings per terminal (X and Z readings)
  • Deposits and their reconciliation to sales

Read cashier end-of-day reconciliation.

Reports head office needs

  • Sales by branch, day and hour, compared with last year and target
  • Sales and margin by product and category per branch
  • Basket size and transaction count
  • Cashier performance and exceptions
  • Stock on hand and days of stock by branch
  • Promotion results

See retail sales analytics.

Opening new branches faster

A central platform makes expansion repeatable: copy the branch template, assign assortment and prices, register terminals, create users, and the branch is ready. For franchise networks, see franchise management software.

Connectivity and resilience

Branches in malls, provinces and islands have different connectivity. The POS should work offline and sync later, so a network outage never stops sales. See offline POS systems.
