ERP for restaurant chains and food service groups in the Philippines
How Philippine restaurant groups connect POS, commissary, ingredient inventory, purchasing, crew payroll, service charge and outlet reporting in one system.
Restaurant groups in the Philippines juggle fast service, food cost, fresh ingredients, commissary production, large crews on rotating shifts, statutory discounts and service charge rules, often across many outlets and brands. An ERP for restaurant chains links the front counter to the commissary, purchasing, payroll and finance, so management can see sales, food cost and labor cost by outlet without waiting for month-end.
Restaurant pressure points
| Pressure point | What helps | Guide |
|---|---|---|
| Food cost creeping up | Recipes linked to inventory; theoretical vs. actual usage | POS and inventory integration |
| Commissary supply to outlets | Production plans, transfers and outlet orders | Stock transfers |
| Senior and PWD discount errors | Correct POS computation and records | Restaurant POS |
| Service charge distribution | Separate recording and payroll distribution | Service charge distribution |
| Crew scheduling and overtime | Shift schedules, attendance approvals | Shift scheduling |
| Cash and void abuse | Cashier reconciliation and exception reports | Cashier reconciliation |
| Outlet comparisons | Sales, food cost and labor by outlet | Retail sales analytics |
The commissary model
Many chains produce sauces, marinated meats, baked goods and prepared items in a central commissary:
- Outlets order from the commissary based on forecasts and par levels.
- The commissary plans production from orders and recipes (production planning).
- Raw materials are purchased and received with lot and expiry tracking.
- Finished items are transferred to outlets with delivery documents.
- Outlets receive and confirm quantities.
When the commissary is a separate company from the outlets, transfers become intercompany sales with invoicing.
Food cost control
Food cost % = cost of ingredients used ÷ food sales
Compare theoretical usage (from recipes × sales) with actual usage (from opening stock + receipts − closing stock). The gap points to waste, over-portioning, unrecorded comps or theft. Count high-value ingredients weekly.
Labor and payroll
Crew payroll involves rotating schedules, night differential for late shifts, holiday premiums during peak seasons and service charge distribution. Approved attendance should flow into payroll, with service charge shares as a separate earning. See holiday pay and night shift differential.
