Retail sales analytics: the reports that help chains sell more
The retail KPIs and POS reports multi-branch retailers should review: sales per branch, basket size, margin by category, cashier performance and stock cover.
Every POS produces data. Retail sales analytics turns that data into decisions: which branches need attention, which products deserve more space, which promotions worked and which cashiers need coaching. For multi-branch retailers in the Philippines, the goal is a short set of reports reviewed at the right rhythm, not a dashboard nobody opens.
Core retail KPIs
| KPI | Formula | Question it answers |
|---|---|---|
| Net sales | Gross sales − discounts − returns | How much did we sell? |
| Sales vs. target and last year | Actual ÷ target; actual ÷ same period last year | Are we on track? |
| Transactions | Number of receipts | How many customers bought? |
| Average basket value | Net sales ÷ transactions | How much does each customer spend? |
| Units per transaction | Units sold ÷ transactions | Are we selling add-ons? |
| Gross margin % | (Net sales − cost of sales) ÷ net sales | Are we profitable by item and category? |
| Sales per square meter | Net sales ÷ selling area | How productive is the space? |
| Sales per labor hour | Net sales ÷ staff hours | Is staffing matched to demand? |
| Stock cover | Stock on hand ÷ average daily sales | How many days of stock do we hold? |
Reports by rhythm
Daily (store managers and area managers)
- Sales vs. target by branch
- Hourly sales, to adjust staffing
- Voids, refunds and discounts by cashier (cashier reconciliation)
- Stock-outs of top items
Weekly (operations and merchandising)
- Sales and margin by category and branch
- Top and bottom products by branch
- Promotion performance
- Slow-moving items and stock cover
Monthly (management)
- Branch ranking on sales, margin, basket and shrinkage
- Category trends and assortment decisions
- Same-store sales growth
- Labor productivity
Reading the numbers
- Sales down, transactions down: fewer customers. Look at traffic, location, competition and stock availability.
- Sales down, transactions flat, basket down: customers are buying less each. Check pricing, promotions and assortment.
- Margin down, sales up: discounting or mix shift to low-margin items.
- One branch's refunds rising: investigate process or possible abuse (shrinkage).
Promotion analysis
Measure promotions against a baseline: incremental units, margin impact, and what happened to sales after the promo ended. Many promotions move sales forward in time rather than creating new demand. Record promo details in the POS so analysis is possible.
Making analytics reliable
Analytics depends on clean master data and complete transactions:
- One product master across branches, with consistent categories
- Accurate costs for margin analysis (inventory valuation)
- All branches syncing daily, including offline terminals
- Returns recorded against original sales where possible
Turning reports into action
Assign each KPI an owner, set targets, and review in a regular operating meeting with actions recorded. A branch below target should leave the meeting with a plan, not just a ranking. See management review meetings and KPI examples by department.
