Month-end close checklist: how to close the books faster
A month-end closing checklist for Philippine finance teams, with a day-by-day calendar, reconciliations, accruals, inventory, payroll and multi-company steps.
The month-end close is the set of steps finance takes to make sure every transaction for the month is recorded, reconciled and reviewed, so management receives reliable financial statements. Many medium and large Philippine companies take two to three weeks to close, mostly because they are collecting data from spreadsheets and other systems. The goal of a good close process is to turn data collection into review.
A day-by-day close calendar
| Day | Tasks |
|---|---|
| Last 3 days of month | Remind operations to submit receiving, sales, expenses and approvals; pre-close review of open items |
| Day 1 | Cut off sales and purchases; final payroll entries; record bank transactions |
| Day 2 | Bank reconciliations; record accruals and prepaid amortization |
| Day 3 | Inventory valuation and cost of sales; fixed asset depreciation |
| Day 4 | Intercompany reconciliation; AR and AP subledger to GL reconciliation |
| Day 5 | Review trial balance; analytical review against budget and prior month |
| Day 6 | Management reports and financial statements; close the period in the system |
Adjust the timeline to your organization; the sequence matters more than the exact days.

How to close faster
- Integrate operations with accounting. When receiving, sales, POS, payroll and inventory post automatically, finance stops re-encoding.
- Close continuously. Reconcile banks weekly and clear exceptions daily instead of saving them for month-end.
- Standardize journal entries for recurring accruals and allocations.
- Assign owners for each task with due times, and track status on a shared checklist.
- Set materiality thresholds so the team does not chase trivial differences before reporting.
- Lock periods after close so nothing changes silently.
Multi-company closing
Groups should close each entity on the same calendar, reconcile intercompany balances early (by day 3 or 4), and produce consolidated management reports from the system. See multi-company financial consolidation.
