Food manufacturing software: traceability, batches and compliance

What Philippine food manufacturers need from software: recipes, batches, lot traceability, expiry, quality records, recall readiness and costing.

Food and beverage manufacturing adds requirements that general manufacturing software may not handle well: recipes with yields, batch production, lot traceability from ingredient to customer, expiry dates, quality and sanitation records, and recall readiness. Philippine food manufacturers supplying supermarkets, food service and export markets also face customer audits and regulatory expectations, including FDA licensing and product registration for many products.

Core requirements

AreaWhat to require
Recipes and formulasIngredients with quantities per batch, yields and losses, revision control (BOM guide)
Batch productionBatch orders, scaling recipes to batch size, actual ingredient usage
Lot traceabilityIngredient lots linked to production batches and finished goods lots
Expiry and shelf lifeExpiry dates by lot; first-expired-first-out picking
Quality recordsIncoming checks, in-process checks (temperatures, weights), finished goods release
Recall readinessTrace forward and backward quickly
CostingBatch cost with actual ingredient usage, labor, overhead and yield losses
DistributionDeliveries to customers with lot numbers recorded

Traceability: one step back, one step forward

Traceability means you can answer, for any lot:

  • Backward: which supplier lots of which ingredients and packaging went into this finished goods lot?
  • Forward: which customers received this finished goods lot, and when?

This requires recording lot numbers at receiving, issue to production, finished goods output and delivery. Test it with a regular mock recall: choose an ingredient lot and trace all affected deliveries within a target time. See quality control in manufacturing.

Yield and cost control

Food production loses material through cooking, trimming, evaporation and spillage. Track actual yield vs. standard per batch:

Yield % = actual output ÷ theoretical output from ingredients used

Low yields directly raise unit cost. Combine yield tracking with production cost control.

Regulatory and customer requirements

Many food businesses in the Philippines need an FDA License to Operate and registration of products, and customers often require food safety programs such as GMP or HACCP-based systems. Software does not make you compliant on its own, but it keeps the records that audits ask for: lot histories, quality checks, supplier documents and corrective actions. Confirm current requirements with the FDA and your food safety adviser.

Expiry and inventory

  • Assign expiry dates at receiving (ingredients) and output (finished goods)
  • Pick by first-expired-first-out in the warehouse (WMS guide)
  • Report near-expiry stock weekly by location
  • Record disposals and donations with approval

Distribution

Food manufacturers often deliver to many outlets with strict receiving windows and shelf-life requirements. Record lot numbers on deliveries, manage returns and bad orders, and track customer complaints by lot. See delivery and logistics.

Evaluation scenario

  1. Receive two lots of the same ingredient with different expiry dates.
  2. Produce a batch scaled from the recipe; record actual usage and yield.
  3. Hold the batch for quality release, then release it.
  4. Deliver to three customers.
  5. Run a mock recall on one ingredient lot and show affected customers.
  6. Show the batch cost vs. standard.

Frequently asked questions

What is lot traceability in food manufacturing?

The ability to trace which ingredient lots went into each finished goods lot and which customers received it.

Why is a mock recall important?

It tests whether you can identify affected products and customers quickly before a real recall is needed.

How do food manufacturers control yield?

By comparing actual output with theoretical output per batch and investigating losses.

Does software make a food business FDA compliant?

No. Compliance depends on licenses, processes and practices. Software helps keep the records and traceability that compliance requires.
